An hour of preventive work prevents 10 hours of emergency repair. Here's the quarterly and annual checklist most rentals never get.
The math of prevention
Replacing an HVAC system is $6,000-$12,000. Replacing a water heater is $1,500-$3,000. Replacing a roof is $10,000-$30,000. The right preventive schedule cuts the failure rate of every one of these by 30-50% — and turns an emergency replacement into a planned one, which is always cheaper.
Here is the schedule I run on every property in my portfolio.
!Tools laid out for preventive maintenance
Quarterly (every 90 days)
HVAC filter change
Five-minute job. Skipping it is the single most common cause of premature HVAC failure. Use a calendar reminder or a smart vent system that alerts you. For tenant-occupied units, ship filters to the tenant on a subscription so they actually get changed.
Smoke and CO detector check
Walk-through or tenant-attested. Test the chirp, replace the 9V if needed. In most states this is also a legal requirement.
Caulk and grout inspection in wet areas
Two minutes per bathroom. Failed caulk is the #1 cause of slow shower-pan leaks that destroy floor framing.
Outdoor: clear gutters, check downspout discharge, trim vegetation 3 feet from foundation
Skip this in fall and you get water in the basement in winter.
Semi-annual (every 6 months)
Plumbing inspection
Check under every sink for slow leaks. Run the dishwasher and washing machine with the access panel off and watch the supply lines. Any drip is a future flood.
