ONYX Configurable Workflows and Automation Center Controls

ONYX provides three supported workflows: lead follow-up, lease-renewal preparation, and unit turnover. Set one shared default for selected properties, then add property, lease, or tenant exceptions as needed. New runs keep the settings they started with; later changes affect future runs. Lead follow-up can send email on schedule or wait for staff review; renewal offers and turnover decisions remain staff-reviewed.

• Lead follow-up — Use a shared default for selected properties, then add optional property, lease, or tenant exceptions. Choose automatic email or staff review. If configured, matching inbound replies stop the run; SMS is not available.
• Lease renewal preparation — Select properties, start preparation 30–180 days before lease end, set a 1–30 day reminder interval, and cap reminders at 0–6 after the first alert. The workflow creates a renewal draft for review; it never sends an offer automatically.
• Unit turnover — Start from a notice to vacate, declined renewal, or approaching lease end. Guide staff through the move-out date and instructions, inspection and condition comparison, repair coordination, deposit disposition review, Make Ready, leasing notification, and Available status. Staff review tenant instructions and deposit decisions; the workflow does not make legal or deposit decisions automatically.
• Late-fee rules — Set grace periods and property- or client-specific fee rules. Charges are applied according to the configured rule.
• Past-due messages — Review and edit the T1–T4 reminder copy used when rent becomes overdue.
• Recurring invoices — Schedule rent and other repeating charges from each lease.
• QuickBooks sync — Push newly recorded income and expenses to a connected QuickBooks company.
